1. Acceptance of Terms

By accessing and using the Fleet Vehicle Management System ("the Service"), you agree to be bound by these Terms of Service. If you do not agree to these terms, you must not use the Service. These terms apply to all users, including company administrators, drivers, repair contacts, and technicians.

2. Description of Service

The Fleet Vehicle Management System provides fleet operators with tools for daily vehicle safety inspections, fault tracking, MOT and service date management, repair coordination, and billing management. The Service is provided on a subscription basis, charged per vehicle per month according to the published pricing tiers.

3. Account Registration

To use the Service, you must register an account by providing accurate and complete business information including your business name, contact details, and address. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You must notify us immediately of any unauthorised use of your account.

4. Billing and Payment

Subscription fees are calculated based on the number of active vehicles registered to your account. Invoices are generated on the 1st of each month and are payable within 30 days. Volume discounts are applied automatically based on your vehicle count. Failure to pay invoices within the specified period may result in account suspension or service restrictions.

5. User Responsibilities

You agree to use the Service only for lawful purposes and in accordance with these Terms. You are responsible for ensuring that all vehicle checks are completed accurately and honestly. The Service does not replace professional vehicle inspections or legal compliance requirements. You must ensure that all data entered into the system is accurate and up to date.

6. Data and Privacy

Your use of the Service is also governed by our Privacy Policy, which describes how we collect, use, and protect your personal and business data. By using the Service, you consent to the data practices described in the Privacy Policy.

7. Intellectual Property

All content, features, and functionality of the Service, including but not limited to software, text, graphics, and logos, are the exclusive property of Fleet Vehicle Management System and are protected by copyright, trademark, and other intellectual property laws. You retain ownership of any data you submit to the Service.

8. Service Availability

We strive to maintain the Service's availability at all times but do not guarantee uninterrupted access. We may perform scheduled maintenance, updates, or modifications to the Service. We will endeavour to provide advance notice of any planned downtime that may affect your use of the Service.

9. Limitation of Liability

To the fullest extent permitted by law, the Fleet Vehicle Management System shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service. Our total liability shall not exceed the amount paid by you for the Service in the twelve months preceding the claim.

10. Termination

Either party may terminate the subscription at any time. Upon termination, your access to the Service will cease at the end of the current billing period. We reserve the right to suspend or terminate accounts that violate these Terms or engage in fraudulent activity. Data retention following termination will be handled in accordance with our Privacy Policy.

11. Changes to Terms

We reserve the right to modify these Terms at any time. We will notify registered users of material changes via email. Your continued use of the Service after such modifications constitutes acceptance of the updated Terms.
